Coaching Terms and Conditions
The purpose of this document is to lay out the terms and conditions of Libby Sinback’s individual coaching with Libby. Please read through this document, so that you know what you’re agreeing to, and write to Libby if you have questions about what something means.
Coaching Expectations
What makes the work that Libby does so effective is that trust is a core value of the process. Clients must understand how important it is to be radically honest and to surrender to the process of coaching in order for the coaching relationship to be nourishing and enriching for both the client and Libby.
Clients are 100% responsible for their progress and results from coaching. Libby will help and guide clients, however, participation is the one vital element of the coaching success that relies solely on the Client. Libby makes no representations, warranties, or guarantees verbally or in writing. Because of the nature of coaching and extent, the results experienced by each client may significantly vary.
Client accepts that failure to disclose relevant information to Libby in sessions may hinder Client’s results. Client also agrees to be fully present during sessions and away from distractions during calls. This includes information about the effectiveness of coaching thus far.
Client acknowledges that Libby is not a clinical psychologist or licensed therapist and cannot treat any clinical conditions including depression, suicidal thoughts or intentions, severe anxiety, PTSD or CPTSD, abuse, or active addiction. If conditions such as these come up during coaching and have never been previously addressed, Libby will encourage Client to seek additional clinical support in conjunction with any coaching.
Scheduling
This is an equal effort coaching relationship, where the client takes full responsibility for asking for what they need and reaches out when help/support is needed to schedule appointments or text Libby. Libby is not responsible if the client does not reach out for support when they need it.
Coaching calls are normally arranged every week, but can be arranged in different configurations if needed, and whenever Libby’s schedule is able to accommodate it. Please schedule all sessions with at least a week’s notice. This gives both the Client and Libby time to prepare for the session.
All sessions require 24 hours notice to cancel and reschedule. Any sessions that aren’t canceled with at least 24 hours advance notice are considered late, and therefore forfeited, which means they cannot be “made up” later on.
If the client is more than 10 minutes late for a session with no prior notice given, Libby will assume that the Client will not make it and the session will automatically cancelled and forfeit. Please provide advance notice if you anticipate that you’re going to be late.
Clients are responsible for scheduling sessions in a timely manner before Libby’s schedule fills up. If the client cannot find an available appointment slot, it is the client’s job to reach out to Libby for possible alternatives. Client is solely responsible for setting and using sessions. Any sessions paid for but not scheduled or used and not explicitly rolled over are forfeit. Libby will not chase the client down to schedule appointments or reach out for support.
Any purchased sessions must be completed within 6 months from the first scheduled session. Any sessions not completed in those 6 months will expire and be considered forfeit unless Client makes alternate arrangements with Libby.
Payment, Late Fees, & Program Termination
If the client is on a monthly payment arrangement, the client understands this is not a “pay to play” arrangement. Payments are simply there to help the client break up the investment into monthly payments.
In the event that the client needs to withdraw from coaching for any reason, the client remains fully responsible for the unpaid balance for the sessions they committed to. Client acknowledges that they are bound to pay the investment in full, whether or not they withdraw from the initial commitment. There are no refunds given under any circumstances.
If Client wishes to discontinue coaching, Client is asked to give Libby two weeks' notice prior to terminating the coaching relationship. This allows for closure and a final offboarding session.
It is within Libby’s right to terminate the coaching agreement at any point for misconduct or egregious behavior, and the client will still be responsible for the full balance, no refunds or partial refunds will be given.
Homework and Email
Regarding communication, please allow at least 24-48 business hours for a response from Libby. Libby has policies in effect as part of the workflow and overall health of her and her family, including but not limited to: not working on days off, not working odd hours, needing 24-48 business hours to respond to messages. Libby is under no obligation to respond within any set time frame to inquiries, except when otherwise noted.
If a client would like Libby to review the Accountability Form prior to a session, it’s important that the form be submitted 24 hours in advance of the appointment time. Any homework assignments or reflections that you want Libby to review need to be provided in the Accountability Form, which will be emailed to you ahead of each sessions.
Libby will generally not reply via email to an Accountability form. The form’s purpose is to help you track your coaching progress and work the Client has done and to get clear on what Client wants to get out of the next session.
Clients should not rely on email as the main form of communication, or for extensive coaching with Libby; Zoom sessions are to be used as the primary form of communication. Email access is there for extra bits of support when needed. Email support is a bonus of the program, and Libby is under no obligation to respond to all messages, nor to respond to them within a specific time frame. Some questions may not be suitable for an email response and may require more in depth exploration, in which case Libby will inform the client to bring that question to their next call.
Confidentiality
Libby agrees not to disclose, reveal, or make use of any personal information shared by Client during discussions, coaching sessions, or otherwise without their prior consent. Likewise, Libby’s expectation for the client is that the client use a reasonable degree of care to hold any confidential information Libby has shared about herself during coaching. Libby will inform clients if she is legally obligated to disclose confidential information for any reason.
